Documents Required for Government Job Applications in Sri Lanka: A Practical Checklist

🏛️ Government vacancy notices 📋 Certificates and certified copies 📅 Check each notice for its own list

Every government vacancy notice in Sri Lanka lists the documents it wants, and applicants are often rejected over a missing or wrongly certified paper, not their qualifications. This guide explains which documents notices commonly ask for, using real examples from published notices, and how to prepare them so you are ready before the next notice appears.

At a Glance

Rule number one: The vacancy notice's own list is the one that counts
Most often seen: Birth certificate, educational certificates, character certificates, Grama Niladhari certificate
Serving public officers: Notices have also asked for a certificate from the head of the institution
Copies: Notices ask for certified copies. Some ask for originals later, at a test or interview
Age: Application forms have asked for age as at the closing date
Late applications: One notice stated they would be rejected

Documents Notices Commonly Ask For

The table is based on a 2026 Sri Lanka Army officer recruitment instruction sheet and Gazette recruitment notices from 2010 and 2012. Requirements differ from notice to notice and change over time, so treat this as a map of what to expect.

DocumentWhat the sample notices said
Birth certificateListed as a certified copy in the 2010 and 2012 Gazette notices and the 2026 Army instruction.
Educational certificatesGazette notices asked for an educational certificate. The 2026 Army notice asked for a degree certificate with transcript, and listed A/L and O/L certificates among originals to produce.
Two character certificatesTwo recent certificates were requested. The 2012 Gazette notice required one of them from the Grama Niladhari, and the 2026 Army notice required certificates obtained within six months.
Grama Niladhari certificateAppears as a Grama Niladhari certificate (2026 Army, obtained within six months) or as a certificate of residence by the Grama Niladhari, attested by the Divisional Secretary (2010 and 2012 Gazette).
PhotographThe 2026 Army notice sets the photograph's background colour and who must certify it.
Service or experience certificateAsked for in a 2010 Gazette notice where the post required experience.
Head of institution's certificateNotices from 2010 and 2012 included a certificate from the head of institution, to be completed for applicants already in government or provincial service.

Applicant Guide

From the sample notices

  • Notices list the exact documents to attach and state whether each must be a certified copy.
  • Certificates such as the Grama Niladhari certificate and character certificates were required to be recent, with the 2026 Army notice requiring them to be obtained within six months.
  • The 2026 Army notice told applicants to produce originals at a later stage and said it was not responsible for returning original certificates sent with an application.
  • Application forms in the 2012 Gazette notices asked for age as at the closing date and for citizenship by descent or by registration.
  • A 2010 Gazette notice stated that late applications would be rejected.

Editor's guidance (general advice, not part of the notice)

The points below are general guidance by GovInfo.lk, not part of the official notice.

  • Prepare a standing file now. Keep your birth certificate, O/L and A/L certificates and any degree or diploma documents together, with a few photocopies, so a new notice does not catch you without them. If you need an O/L certificate, see our O/L certificate guide.
  • Time the short-lived documents. Character and Grama Niladhari certificates are required to be recent, so request them after you have read the notice, not months before.
  • Ask early. Certificates issued by other people (Grama Niladhari, Divisional Secretariat, your head of institution) take time to obtain. Do not leave them to the last week.
  • Match the notice, not this list. Make a checklist from the notice's own list, tick each item and check it twice before posting or submitting.
  • Check names and details. Differences in how your name or birth date appear across documents are a common source of trouble. Fix mismatches before you apply.
  • Send only what is asked. Do not send originals unless the notice says so, and keep a full copy of what you submit.
  • Serving public officers: if the notice asks for a head of institution's certificate, ask for it early and check what it must say.

Step-by-Step Preparation

  1. Read the vacancy notice in the Gazette or the issuing institution's notice, and copy its list of documents.
  2. Note the closing date and the date used for age and qualifications.
  3. Collect the documents you already have, and identify what you still need to obtain.
  4. Request recent certificates only after you know exactly what the notice requires.
  5. Have copies certified in the way the notice describes. Notices name who may certify, so check before you go.
  6. Check every document against the notice list, and compare names, dates and spellings.
  7. Submit before the closing date and keep a copy of everything.

Common Mistakes to Avoid

  • Using an old document list from a different notice or a different year.
  • Missing a recent-certificate requirement and submitting an older certificate.
  • Copies certified by someone the notice does not allow.
  • Sending originals that you will not get back.
  • Calculating age as of today, not the date the notice or form uses.
  • Leaving certificates from other offices to the final days.
Always verify: the examples above come from specific notices. Your notice may ask for more, fewer or different documents. Follow its list and confirm anything unclear with the issuing institution.
